Campus Key and Card Access

Overview

The campus key and card access systems are in place for the safety of, and to protect the privacy of, the students and employees and to protect college property. 

Keys and card access for faculty and staff

Upon employment, full time faculty and staff are granted card access to the Maytag Wellness Center and will also be given needed card access to the building entries or spaces where their work is located.  Keys will be issued to employees as requested to Facilities Management by the appropriate department head or V.P.  Access will be given only to areas where need is demonstrated.

To obtain keys and card access

A key and card access request form must be submitted to Facilities Management. Key and Card Access Request Form

All requests for Academic Affairs employees, are to be approved by the Vice President of Academic Affairs.  All other requests must be approved by the department head of the person the keys are requested for.  Sub-masters and higher-level security keys are subject to further approval.  Academic and residential grand masters must have the approval of the college President by recommendation from the department VP.  

  • Once the form is received by Facilities Management, normal processing time is 3 business days. 
  • You will receive a telephone call and/or e-mail notifying you that your key and/or card access is ready.
  • Keys may be picked up at the Facilities Management service desk during normal business hours, 8 a.m. - 4:30 p.m., Monday - Friday.  It is recommended that you call ahead to x7676 to ensure someone is available to assist you. 
  • Keys not picked up within 30 working days will be returned to storage and the request form will be voided.
  • If you have any questions or concerns about this process, please call the Facilities Management service desk at x7676.

For last minute or temporary key requests, it is recommended that you call ahead to x7676 to ensure someone is available to assist you.  Our locksmith may not be available at all times, limiting our ability to provide keys without prior notification. Please plan ahead when requesting keys. 

Residence room keys and card access for students

Students should obtain individual room keys following the protocol set forth by Student Development.  Student card access is set by Student Development.  Please contact Student Development at x5656 for details.

Transfer/Loan of Keys

Employees must sign for keys issued to them and should not receive or take into possession any campus keys that have not been formally issued to them by Facilities Management.

To return a key(s)

  • All keys are College property and must be returned.
  • Any keys no longer needed or used should be returned to Facilities Management.
  • Faculty and staff keys are to be returned to Facilities Management or HR on or before the date an employee ceases to be employed by the college.
  • Students should return residence hall keys following the protocol set forth by Student Development.
  • Never return or send keys via mail or campus mail. Keys that have been issued to an individual are that individuals responsibility until the keys are in the hands of Facilities Management or HR.

To replace a lost or damaged key

  • College employees should immediately notify Facilities Management if a key has been lost or a replacement is needed.
  • Students should immediately notify their Area Coordinator if a key has been lost or a replacement is needed and follow the protocol set forth by Student Development.
  • A minimum of $75.00 will be charged to replace each key that is lost/stolen.
  • Damaged keys will be replaced at no charge. Simply bring the damaged key to the Facilities Management office during normal business hours and it can be traded for a replacement. It is recommended that you call ahead to x7676 to ensure someone is available to assist you.

Keys for vendors and contractors

Short-term contracted vendors or contractors to the campus will not be issued permanent keys to the campus. Keys will be made available for temporary check out from Facilities Management.

Emergency access

Please call the Information Center at 641-628-9000 to report an emergency access need.

Key Audit

Facilities Management maintains records of the issuance of keys for the campus.  Periodic key audits will be performed and key holders may receive notification from Facilities Management asking them to verify the keys they have.
