Understanding OneDrive Sync Icons

OneDrive uses small icons to show the status of your files. These icons help you know if your file is fully saved, online-only, or having issues.

Where to Find the Icons:

· Windows: OneDrive cloud icon is located bottom-right corner of the screen. Click the small up arrow if you don’t see the icon. Select Open folder to view files.

· Mac: OneDrive cloude icon is located top-right menu bar of your screen. Select Open folder to view files.

What the Icons Mean:

· Blue cloud: File is online-only (not on your computer)

· Green check mark: File is stored on your computer and in OneDrive

· Solid green circle with white check: File is always available offline

· Red X: File or folder is not syncing

Quick Tip:

  • If a file has a green check mark, right click on the file and select Free up Space. This removes the copy on the computer but remains in the cloud
  • If a file isn’t syncing, click the OneDrive cloud icon it will display a message on how to correct the problem → Resume syncing
