Other Settings in Teams Phones

There are two locations for quickly changing your call settings in Microsoft Teams.

1. From the Call Settings menu in the bottom-left of the Calls view in Teams:

  • Go to Calls view > select a Forwarding setting or Audio Devices setting option in the bottom left.
  • The More Settings will appear and navigate you to the full Teams Setting menu.

2. From the More Action ellipses in the top-right of Teams:

  • Click the More Action ellipses to the left of your profile picture at the top of Teams, then Settings. There are a few different places with call settings: General, Devices, and Calls.

Set your call answering rules

To set your call answering rules, go to your Teams Settings > Calls.

Choose how you want Teams to handle your incoming calls in the Call answering rules section.

  • Select Calls ring me if you want incoming call to ring before being sent to voicemail.
    • Once selected, you can choose what happens if the call goes unanswered by selecting Do Nothing or Voicemail from the If unanswered dropdown.
    • If you select Voicemail from the If unanswered dropdown, you will then be prompted to select the amount of time to Ring for this many seconds before redirecting.
  • Select Forward my calls if you want your incoming calls forwarded straight to voicemail.

Adjust your voicemail settings

To change your voicemail settings, go to your Teams Settings > Calls.

In the Voicemail section, click Configure voicemail. That's where you'll find all your voicemail settings.

  • Select Record a greeting button and follow the instructions to record a new voicemail greeting.
  • Use the Call answer rules dropdown to select how the call is to be handled once it reaches your voicemail.
  • Select which language your default greeting should be from the Greeting language dropdown.
  • If you have not already recorded a voicemail greeting, you can use the Text-to-speech customized greeting option to indicate your custom greeting.
  • Indicate when your custom out of office greeting should play via the Out of office greeting options.

Choose ringtones

To set your preferred ringtone, go to your Teams Settings > Calls.

In the Ringtones section, you can choose separate ringtones for your normal calls, forwarded calls, and delegated calls so you're able to tell them apart.

Turn on Text Telephone (TTY)

To turn on text telephone (TTY), go to your Teams Settings > Calls. In the Accessibility section, click Turn on TTY mode.

Text telephone (TTY) mode is used to send text over a telephone line. A TTY device must be connected to the computer to interpret the modified audio otherwise you might experience poor audio quality. Using TTY mode in a conference call may also cause audio quality issues.

Change your default mic, speaker, or camera

To select the mic, speaker, and camera you want Teams to use for calls and meetings, go to your Teams Settings > Devices.

  • Under Audio devices, pick the speaker and mic you want Teams to use by default.
  • Under Camera, select the camera you want Teams to use, and see a preview of that camera's video.
  • If you have multiple certified devices connected to your computer, you can set one as your secondary ringer, which means it'll ring when a call comes in.

Manage blocked numbers

To view and manage the numbers you've blocked, go to your Teams Settings > Privacy.

Select Edit blocked contacts under Blocked contacts to see any numbers you've blocked and remove them from the list.

To block anonymous calls, select Block calls with no caller ID.

Make a test call

To make a test call, go to your Teams Settings > Devices and choose Make a test call under Audio devices.

In a test call, you'll see how your mic, speaker, and camera are working. Follow the instructions from Test Call Bot and record a short message. The message will play back for you. After that, you'll get a summary of the test call, and you can go to your device settings to make changes.

Note:

  • The test call feature is only available in English for now. Additional languages are coming soon.
  • The test recording is immediately deleted after the call. It is not retained or used by Microsoft.
  • The test call feature is currently unavailable for Teams on the web.

Join a Microsoft Teams call on a second device

If you've joined a call on one device, you have the option to join it on another one at the same time.

This can come in handy if, for example, you're in a call on your laptop but there's some content on your phone or tablet that you'd like to share. 

You can either transfer the call to the second device, or keep both devices in the call. 

Notes: 

  • This feature is available for the following call types: VoIP, PSTN, and Group call.
  • This feature is supported on Teams Desktop and Mobile platforms only currently.
  • This feature is enabled by default for all users. There are no admin controls or policies available.

Transfer a call from one device to another

  • While you're in a call on one device, open Teams on the second one (the device you want to transfer the call to). 
  • You'll see a message near the top of the second device's screen informing you that you're currently in a call on another device, and asking if you want to join it on this one, too.

  • Select Join.
  • Teams will then give you two options: Add this device, and Transfer to this device. Select Transfer to this device.

  • You'll have the chance to set your audio and video preferences for the call on the new device. Then, choose Join. Once you're in the call on the new device, your first device will leave the call.

Note: You can transfer once from one device to another while in a call. Transferring more than once isn't currently supported.

Add a second device to a call

  • While you're in a call on one device, open Teams on the second one. You'll see a message near the top of your screen informing you that you're currently in a call on another device, and asking if you want to join it on this one, too.

  • Select Join.
  • You'll then see two options: Add this device, and Transfer to this device. Select Add this device.

  • Teams will automatically mute the mic on your second device before it enters the call to prevent an echo effect. Once it's joined, you'll be able to turn the mic and camera on or off as needed.
  • With both devices in the call, you can now share content from either one.
