How to Record and Transcribe During a Meeting
- Click the More actions (three dots) icon on the top meeting toolbar.
- Hover over or select Record and transcribe.
- Click Start recording. (Starting a recording usually starts the live transcript automatically). If you only want text without video or audio storage, you can choose Start transcription instead.
- Confirm the spoken language if prompted. All participants will see a notification banner that the session is being recorded and transcribed.
- To stop, go back to More actions -> Record and transcribe and select Stop recording or Stop transcription.
How to Set Up Automatic Recording and Transcription.
If you are the meeting organizer, you can make meetings record and transcribe automatically every time:
- Open your Calendar in Microsoft Teams.
- Click on the scheduled meeting event and select Edit.
- Navigate to the recording and transcription settings and toggle on Record and transcribe automatically.
Where to Find Your Recording and Transcript
After the meeting ends, files are processed and saved automatically:
- Meeting Chat: Look at the chat or channel conversation for the meeting; links to both the recording and the text transcript will appear here.
- Downloads: You can open the chat, click the three dots next to the transcript to download it as a
.docx or .vtt file, or open the recording in Microsoft Stream/OneDrive to download or manage expiration dates.
- Calendar: Open the meeting event in your calendar and check the Recap or Transcript tab.
Where Recordings Are Stored
- Standard meetings: Saved automatically to the meeting organizer's OneDrive for Business inside a folder named Recordings.
- Channel meetings: Saved in the specific channel's Files tab under a Recordings folder on SharePoint.
- Access in Teams: Found in the meeting chat, calendar event recap, or the channel conversation.
- Expiration: Recordings usually expire and delete after 120 days, depending on your organization's settings.
